Job Description

Role Summary:

We are seeking a Field Administrator to provide comprehensive administrative, reporting, and coordination support to our client’s Operations, Maintenance, HSE, and Production teams in Grande Prairie, serving as the primary point of contact for the area.

This role ensures accurate invoicing, payroll, safety, compliance, and operational reporting while supporting field leadership with data management, systems administration, and day-to-day office operations.

Key Responsibilities:

  • Serve as the first point of contact by welcoming visitors, answering phones, managing incoming mail, and arranging couriers.
  • Review, code, and route area operations invoices in the SAP Ariba system, working closely with Accounts Payable to resolve invoicing discrepancies.
  • Support monthly field safety meetings through the preparation and presentation of PowerPoint materials.
  • Compile and consolidate data from multiple sources to complete monthly Tier and operational reports.
  • Coordinate new operator onboarding, including system access (Sinopec Daylight programs), vehicle handovers, mobile phones, equipment, and required documentation.
  • Partner with Payroll to ensure accurate and timely submission of operator timecards in ADP based on scheduled rotations.
  • Assist the HSE team by entering hazard assessments into Sinopec’s safety program and supporting compliance initiatives as required.
  • Support vendor setup and administration within ComplyWorks.
  • Prepare required reports for weekly Leadership meetings, record clear and concise meeting minutes, and distribute to attendees.
  • Maintain organized, accurate, and user‑friendly electronic filing systems.
  • Order and manage office stationery and supplies as needed.

Production Support:

  • Provide administrative and reporting support to the Area Production Foreman, including tracking and submitting truck tickets and charts to Production Accounting at month‑end.
  • Perform ProdView (PVR) tasks such as volume entry, report generation, reconciliation, and troubleshooting.
  • Reconcile terminal receipt summaries against PVR data weekly and report discrepancies to the Foreman.
  • Maintain and update emergency response manuals; support emergency response planning, training attendance, and scheduling.
  • Track operator safety tickets and coordinate required training prior to expiration.
  • Administer the Competency Management and Development System (CMDS).
  • Monitor, support, and maintain ComplyWorks and OPLII systems, including setup of new entities and operator assistance.
  • Track, verify, and compile HSE statistics for weekly and month‑end reporting.
  • Assist with maintaining the Safety Data Sheet (SDS) database.
  • Track OPLII and OPEX expenditures and maintain the monthly KPI board for the area.

Maintenance Support:

  • Provide administrative support to the Maintenance Supervisor, including maintenance data entry and hour meter updates.
  • Support equipment management activities using OPLII.
  • Maintain organized network filing and documentation for completed maintenance work orders.

Qualifications

Qualifications and Experience:

  • At least five (5) years of administrative experience within the oil and gas industry.
  • Post‑secondary education in administration or a related field is .
  • Strong proficiency with Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook, with the ability to quickly learn new systems and software.
  • Highly organized with strong attention to detail and a demonstrated commitment to delivering excellent customer service.
  • Effective written and verbal communication skills, with the ability to clearly convey information to a variety of stakeholders.
  • Proven ability to collaborate with internal teams and external vendors to resolve issues efficiently and professionally.
  • Experience with SAP Ariba, OPLII, ComplyWorks, and ProdView is considered an asset.

Salary & Other Information

Pay: CA$26.00 - $32.00 per hour
