About the Opportunity

We are seeking a highly organized and proactive Fleet Administrator to support and oversee the efficient movement of personnel, equipment, and materials for one of our clients.

This position plays a vital role in ensuring transportation operations are executed safely, efficiently, and in compliance with regulatory requirements. The successful candidate will work closely with drivers, customers, vendors, and internal departments to coordinate logistics, maintain operational schedules, and support continuous operational improvement.

Key Responsibilities

Transportation Planning & Dispatch

  • Coordinate and schedule transportation activities to support daily operational requirements.
  • Assign drivers and equipment while ensuring efficient route utilization.
  • Communicate transportation schedules and updates to relevant stakeholders.
  • Monitor transportation activities to ensure timely service delivery.

Operations & Logistics Coordination

  • Track shipments, personnel movements, and delivery schedules.
  • Identify and resolve delivery delays, route disruptions, or operational challenges.
  • Collaborate with drivers, operations personnel, and external service providers to ensure seamless transportation services.
  • Support continuous improvement initiatives aimed at increasing operational efficiency.

Compliance & Documentation

  • Maintain transportation records, permits, and operational documentation.
  • Ensure transportation activities meet applicable provincial, federal, and company requirements.
  • Support compliance with transportation safety standards, fleet regulations, and environmental requirements.
  • Prepare and manage required reports, logs, and transportation records.

Fleet & Asset Coordination

  • Assist with monitoring fleet utilization, maintenance schedules, and equipment availability.
  • Coordinate vehicle inspections, repairs, and preventative maintenance activities.
  • Maintain accurate records related to fleet performance, maintenance history, and compliance requirements.
  • Support tracking of electronic logging devices (ELDs) and fleet management systems.

Stakeholder Relations

  • Build positive working relationships with drivers, vendors, clients, and internal teams.
  • Address transportation inquiries and operational concerns in a professional and timely manner.
  • Assist in negotiating transportation services and coordinating third-party resources when required.

Reporting & Administrative Support

  • Compile and analyze transportation data to support performance monitoring and decision-making.
  • Prepare operational reports and maintain accurate information within company systems.
  • Assist with invoice processing, mileage tracking, and other transportation-related administrative duties.
  • Support onboarding, training, and competency evaluations for drivers as required.

Requirements

Qualifications & Experience

  • Previous experience in transportation, logistics, fleet administration, dispatching, or a related field.
  • Post-secondary education in transportation, logistics, business administration, or a related discipline is considered an asset.
  • Experience coordinating transportation schedules and fleet operations.
  • Familiarity with transportation compliance requirements, fleet regulations, and safety standards.
  • Experience working with fleet management software, GPS systems, electronic logging devices, or transportation management systems is an asset.
  • Proficiency in Microsoft Office applications, particularly Excel and Outlook.

Salary & Other Info

Pay: CA$27.00 - CA$33.00 per hour
