Job Description

Role Summary:

The Project Coordinator provides financial, administrative, and logistical support to project teams, working closely with Project Manager(s) to ensure projects remain on schedule, within budget, and aligned with defined objectives. This role collaborates with cross‑functional teams, contractors, and subcontractors to support efficient project execution and timely delivery.

Key Responsibilities:

  • Documentation and Reporting: Maintain accurate project documentation; prepare status reports, analyze data, and capture meeting minutes and action items.
  • Schedule Management and Planning: Support project scheduling by tracking timelines, milestones, and communicating updates to stakeholders.
  • Resource Coordination: Assist with resource planning to ensure teams have required tools, materials, and information.
  • Process Improvement: Identify workflow inefficiencies or recurring requests and partner with leadership to implement process improvements.
  • Administrative Support: Provide administrative support, including meeting and site visit scheduling, calendar management, progress updates, and procurement/financial tracking (invoices, purchase orders).
  • Project Close-Out Support: Support project close‑out by confirming deliverables, compiling review documentation, assisting with financial reconciliation, and coordinating final handovers.
  • Triage and Prioritization: Monitor and prioritize incoming Aimsio tickets based on urgency and impact.
  • Workflow Management: Manage tickets end‑to‑end, ensuring accurate status updates, clear documentation, and SLA compliance.
  • Tracking and Follow-up: Proactively follow up on aging tickets, coordinating with stakeholders and technical teams through resolution.
  • Communication Bridge: Act as a liaison between business users and technical teams, translating requirements and escalating risks or blockers as needed.

Qualifications

Qualifications and Experience:

  • Bachelor’s degree in accounting, business administration, finance, or a related field preferred.
  • Proficiency with project management software and the Microsoft Office Suite.
  • Strong numerical and analytical skills - budgeting, cost tracking, and financial analysis.
  • Ability to assess project data, identify issues, and recommend or support corrective actions.
  • Strong time management, attention to detail, and the ability to multi-task.
  • Excellent written and verbal communication skills

Salary & Other Information

Pay: CA$32.00 - $36.00 per hour
