Job Description
Role Summary:
We are currently seeking a part-time Administrative Assistant for one of our clients. This role requires approximately 5–6 hours per day and will support a range of general office functions. Key responsibilities include data entry for Accounts Payable and Accounts Receivable using Sage 50, invoicing, document scanning, and safety data reporting.
The ideal candidate will be highly organized, detail-oriented, and able to effectively manage multiple tasks in a fast-paced office environment.
Key Responsibilities:
- Handle general office responsibilities, including answering phones and providing administrative support to staff as required.
- Accurately and efficiently enter Accounts Payable and Accounts Receivable data into Sage 50.
- Prepare, issue, and track client invoices, following up on outstanding payments when necessary.
- Scan, organize, and maintain digital files in accordance with record‑keeping procedures.
- Enter and maintain data within the Open Invoice system.
- Track, monitor, and report safety information to ensure compliance with ISNet and ComplyWorks requirements.
- Support the maintenance of office supplies and office equipment.
- Complete additional administrative duties and special projects as assigned.
Qualifications
Qualifications and Experience:
- High school diploma or equivalent required; post‑secondary training or certifications in office administration or accounting are considered an asset.
- Proficient with Microsoft Office applications, including Word, Excel, and Outlook.
- Experience using Sage 50 and Open Invoice is an advantage.
- Demonstrates strong attention to detail and excellent organizational abilities.
- Possesses effective written and verbal communication skills.
- Able to work independently, prioritize tasks, and manage time efficiently.
- Familiarity with safety reporting processes and compliance standards is considered a plus.
Salary & Other Information
Pay: Starting at CA$25.00 per hour
