About the Opportunity
Our client is seeking a highly organized and resourceful Office Administrator to support day-to-day administrative operations and contribute to the overall efficiency of a busy office environment. This position plays an important role in maintaining workflow processes, coordinating internal documentation, supporting operational teams, and ensuring office activities run smoothly.
The successful candidate will be a detail-oriented professional who enjoys working in a fast-paced setting, takes initiative, and can effectively manage multiple priorities while maintaining a high level of accuracy and professionalism.
Key Responsibilities
Administrative Operations
- Coordinate daily office activities to ensure efficient workflow and administrative support.
- Manage incoming calls, messages, correspondence, and general inquiries.
- Organize and maintain electronic and physical records, ensuring documentation is accurate and current.
- Support leadership and operational teams with administrative tasks and reporting requirements.
Financial Administration
- Assist with accounts payable functions, including purchase order processing and document verification.
- Compile and prepare employee expense submissions.
- Support receipt collection, expense coding, and tracking activities.
- Contribute to payroll data preparation and related administrative processes.
Coordination & Logistics
- Arrange accommodations and travel-related requirements for field personnel when required.
- Assist with preparing service proposals, quotes, and supporting documentation.
- Maintain tracking systems, spreadsheets, and operational records to support project activities.
Safety & Compliance Administration
- Monitor and organize safety documentation received from field teams.
- Maintain employee training records and ensure administrative compliance requirements are up to date.
- Support company initiatives that promote a safe and compliant workplace.
Requirements
Experience
- Previous experience in office administration, office coordination, or a related administrative role.
- Experience supporting multiple departments or operational teams is considered an asset.
Skills & Competencies
- Strong organizational and time management abilities with the capacity to manage changing priorities.
- Excellent communication and interpersonal skills.
- Professional customer service approach and strong telephone etiquette.
- High attention to detail and commitment to producing accurate work.
- Ability to work independently while collaborating effectively within a team environment.
- Strong proficiency with Microsoft Office applications and administrative software.
Salary & Other Info
Pay: CA$30.00 - CA$32.00 per hour
