Job Description

Our client is seeking a contract administrator to assist their board and staff with administrative duties such as;

  •  Record minutes in meetings, prepare briefing notes and summary documents 
  • Working with IT support, assist in data management and optimization including but not limited to creating and maintaining backups of cloud storage
  • Create and maintain a database of community partners, resources, and companies with available tools and technologies.
  • Take first steps to build relationships and network (e.g., cold calling)
  • Assist in the creation and ongoing document management of  SOPs, TOPs, safety and communication plans to support fieldwork
  • General administrative support for contractors and staff
  • Tracking projected vs actual spending for budgets and supporting work authorizations with budget comparisons
  •  Preparing for meetings including making agendas and arranging for catering, etc.
  • Create and optimize office procedures
  • Perform general duties related to filing
  •  Actively identifies and participates in continuous improvement opportunities that support service initiatives for the organization
  •  Participate in the development, implementation, and revision of policies and procedures
  •  Act as lead document controller for all relevant Society materials, plans, programs, policies and other items central to the ongoing management of the society
  • Perform basic website and social media management and maintenance

Requirements

  • Minimum 5 years experience in an office setting. Candidates with Executive Assistance experience are an asset.
  • Advance level MS Skills (Word, Excel, Outlook, Typing)
  • Ability to multitask and stay highly organized
  • Valid Drivers License and reliable transportation
  • Marketing experience is an asset

This is a full-time, temporary opportunity on a 6 month contract with possible extension or permanent hire.

Based on experience, starting at $25.00/hr
