Job Description
Position Overview
We are currently seeking a highly organized Executive Assistant to support senior leadership on behalf of one of our clients, providing seamless, high-level administrative support during a transitional period.
The position will primarily be based out of the client’s office (approximately 4 days per week), with 1 day per week working from a corporate office in Fort St. John.
Key Responsibilities
- Provide administrative support to senior leadership, including an Interim Executive and executive leadership team
- Manage complex calendars, scheduling meetings, and coordinating travel and itineraries
- Act as a key liaison between leadership and internal/external stakeholders
- Screen and prioritize incoming requests, ensuring efficient use of leadership time
- Draft and manage correspondence on behalf of the executive team
- Coordinate meetings across departments and leadership offices
- Maintain a high level of discretion and confidentiality in all interactions
- Support general office coordination and workflow efficiency
- Maintain organized filing systems (digital and physical) for records and documents
- Support document preparation, formatting, and editing using Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Assist with data entry, record keeping, and tracking of key information
- Coordinate office logistics, supplies, and general administrative needs
- Support onboarding logistics or coordination activities as needed
- Assist with expense tracking, invoice coordination, and basic administrative financial tasks
- Ensure smooth day-to-day office operations and provide ad hoc administrative support as required
- Handle sensitive information with a high degree of discretion and confidentiality
- Work effectively under pressure, managing multiple priorities and tight deadlines
Requirements
Qualifications and Experience
- Previous experience as an Executive Assistant, ideally supporting senior leaders in a fast-paced environment
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- High level of professionalism and discretion
- Ability to manage competing priorities and work under tight deadlines
- Proficient in Microsoft Office Suite (especially Word, Outlook, and basic Excel)
- Strong interpersonal skills with the ability to engage with a wide variety of stakeholders
Work Environment
- Primarily office-based with close collaboration between leadership teams
- The Executive Assistant will work in proximity to senior leadership offices to ensure seamless communication and support
- Reporting structure includes dual reporting to two senior leaders

Salary & Other Info
Pay: CA$30.00 - CA$35.00 per hour
